Online Fee Payment for Schools β€” Built In, Audit-Trailed, Reconciled

Accept parent fee payments online through OpenEduCat β€” Razorpay, Stripe, PayU, UPI, and NEFT supported. Every transaction auto-reconciled with the student fee record. No orphaned payments, no month-end matching marathon.

How online fee payment works in OpenEduCat

From invoice raised to reconciled receipt β€” five steps, no manual handoff between systems, no spreadsheet matching at the end of the month.

  1. 1

Invoice is raised against the student

Accounts defines the fee structure once. Invoices generate automatically per class, term, and student and land in the parent portal.

  2. 2

    Parent receives the invoice

Delivered over email, SMS, and WhatsApp with a deep link to the OpenEduCat parent portal β€” no app install required.

  3. 3

Parent clicks Pay and is routed through the gateway

Parent picks Razorpay, Stripe, PayU, UPI, or netbanking. Card and bank credentials are entered on the gateway hosted page, never on the OpenEduCat server.

  4. 4

    Receipt auto-generated and emailed

Within seconds of the gateway confirming success, a sequential GST-compliant receipt is generated and emailed to the parent.

  5. 5

    Payment reconciled in real time

The student fee ledger updates instantly. The collection dashboard reflects the new number. Accounts close the books without any month-end matching.

Why not a third-party payment plugin?

A generic payment plugin can collect money. What it cannot do is reconcile that money against a student, an invoice, and a fee head β€” because the plugin does not own your fee data. Once the gateway confirms success, the plugin walks away and your accounts team is left to match each transaction by hand from a bank statement.

In practice this costs finance teams five to ten hours per month per institute, every month, forever. Orphaned payments β€” where the parent paid but the school cannot trace which child or invoice it belonged to β€” generate the loudest support escalations and the most strained conversations with parents.

A built-in fee module owns both sides of the transaction. The invoice and the gateway response live in the same database, get written in the same transaction, and roll up to the same audit log. Reconciliation stops being a monthly project and starts being a non-event.

If your institute is already on OpenEduCat Fees Management, online fee payment is not a separate product β€” it is a checkbox in the same module.

The OpenEduCat way

Six product capabilities that turn online fee payment from a collection channel into a closed-loop, audit-ready finance workflow.

Native gateway integrations

Razorpay, Stripe, PayU, and direct UPI/NEFT links are built in. No third-party plugin, no separate vendor contract β€” connect your merchant account from the admin panel in minutes.

Automatic reconciliation

Every successful payment writes back to the student fee ledger in real time. No more matching bank statements to a separate fee register or chasing orphaned transactions at month-end.

Parent fee portal

Parents see their child fee ledger across years β€” invoices raised, amounts paid, amounts due, scholarship adjustments β€” and pay any pending due in two clicks from the same screen.

Auto-generated GST receipts

A tax-compliant receipt is generated and emailed to the parent the moment a gateway returns success. Receipt numbers are sequential per institute branch and stored against the student record.

Audit trail on every transaction

Every payment carries gateway reference ID, payer IP, timestamp, fee head split, and the user who waived or adjusted any amount. Required for board audits and statutory inspections.

Collection dashboard

Accounts heads see live collection by class, by fee head, by gateway, and by date range. Outstanding dues are sliced by ageing bucket so reminder workflows can be triggered in one click.

Supported payment methods

Enable one gateway or several and let parents pick at checkout. Every successful payment from any of these flows back into the same reconciled fee ledger.

Frequently asked questions

Online fee payment is the workflow where a parent receives a digital fee invoice from the school, opens it on their phone or laptop, pays the amount through an integrated payment gateway (Razorpay, Stripe, PayU, UPI, or netbanking), and the school accounts office sees the payment land against the right student record in real time. A receipt is generated and emailed automatically. The whole loop replaces the older cycle of printed challans, parents queuing at the bank, returning stamped copies to the school, and the accounts team typing entries into a register. In OpenEduCat the workflow is built into the Fees Management module rather than bolted on as a third-party plugin.
