From the portal, they can view their child's current wallet balance, see a full transaction history with dates and items purchased, set a low-balance notification threshold, and add funds through the configured payment methods. If the institution uses meal plan subscriptions, the parent can also view remaining meal allocations for the current period. The wallet balance updates in real time, so a deposit made at 11:30 AM is available when the student scans their ID at the 12:00 PM lunch line.

Each menu item is linked to a recipe card that defines the ingredient quantities required per serving. When the POS records a sale of that item, the system deducts the corresponding ingredient quantities from the kitchen's stock ledger. Selling 200 portions of pasta deducts the defined amounts of dry pasta, marinara sauce, grated cheese, and grilled protein from inventory. This consumption data feeds into purchase suggestion reports that compare current stock levels against the upcoming menu plan and recent consumption velocity, giving the kitchen manager a data-backed reorder list instead of a memory-based guess. Reorder alerts fire when any ingredient falls below the minimum threshold.

The canteen module generates cost-per-meal reports broken down by campus, meal type, day of week, or custom date range. These reports pull food ingredient costs from the inventory module, transaction revenue from POS records, and waste quantities from the waste logging feature. A food services director can show the CFO that the high school campus spends $3.42 per lunch while the elementary campus spends $2.87, with the variance attributable to specific ingredient cost differences. Trend reports across months or semesters show whether food costs per meal are rising or declining by location, which helps justify budget requests or identify campuses that need operational changes.

Meal plans are configured at the institutional level with parameters for included meal types, daily limits, validity period, and pricing. When a student on the Gold Plan scans their ID at any campus cafeteria in the network, the POS checks their plan allocation. If the plan includes lunch and the student has not used their lunch allocation today, the meal is charged against the plan. If the student has already used their daily lunch allocation, the system prompts for an alternative payment method such as wallet balance or cash. Multi-campus tracking works because all locations share the same database, so a lunch used at Campus A is immediately visible at Campus B.

The canteen module runs on the same instance and PostgreSQL database as every other OpenEduCat module. Each campus cafeteria is configured as a location within the multi-company architecture, with its own menu catalog, pricing, inventory ledger, and POS terminal settings. POS terminals connect over the institution's network to the central server. Student ID scanning uses standard barcode or RFID readers compatible with your existing student cards. There is no separate canteen application to install, no middleware layer between the POS and the student database, and no third-party API integration to maintain. User roles control which staff members can process sales, modify menus, adjust inventory, or access financial reports.
