Official vs Unofficial Transcripts: The Critical Distinction

Before submitting any transcript request, you need to understand the difference between official and unofficial transcripts, because using the wrong one can cause your application or visa to be rejected.

Official transcript: Issued directly by the institution's Registrar or Records Office. Step 1: Log In to Your Student Portal

Most universities allow transcript requests through the student information system portal. Log in with your student credentials and look for:

  • "Transcript Request" under Academic Records
  • "Registrar Services" or "Student Services"
  • A link to a third-party ordering service (Parchment, National Student Clearinghouse, or similar)

If the option is not visible, proceed to Step 2.

Step 2: Contact the Registrar Directly

If your institution does not offer online transcript ordering, contact the Registrar's Office directly:

  • Visit the Registrar in person with a valid photo ID
  • Submit a written request form (many institutions still use paper forms)
  • Some institutions accept requests by email if sent from your institutional email address

Have your student ID number, full legal name as registered with the institution, date of birth, and the dates of your enrolment ready.

Step 3: Specify the Delivery Method

You will typically be asked to choose:

  • Electronic delivery: The transcript is sent directly to the recipient institution or employer via a secure platform. Faster (often same-day to 3 business days) and increasingly the required format for many US and Canadian institutions.
  • Paper delivery (sealed): The transcript is printed, sealed, stamped, and mailed. Required by some institutions that do not accept electronic delivery, and by most immigration authorities.

Confirm with your recipient what format they accept before ordering.

Step 4: Pay the Transcript Fee

Fees vary significantly by country and institution:

Step 6: Confirm Receipt

After the transcript is dispatched, follow up with your recipient (graduate school admissions office, employer, or credential evaluation service) to confirm they received it. Electronic transcripts usually include a delivery confirmation; paper transcripts may require you to ask the recipient to confirm arrival.

Using Transcripts for International Credential Evaluation

If you are applying to a university or employer in a different country from where you studied, your transcript will likely need to be evaluated by a credential evaluation service. These services convert your foreign grades and qualifications to the equivalent standard in the destination country.

WES (World Education Services): The most widely used service for Canada and the US. WES requests the official transcript directly from your institution, you do not submit it yourself. The WES report shows your US or Canadian equivalent degree level and GPA.

NARIC / UK ENIC: The UK equivalent. Evaluates foreign qualifications and provides a Statement of Comparability. Required by many UK employers and universities for international applicants.

NOOSR (Australia): The Australian government service assessing overseas qualifications for migrants and skilled workers.

Key point: credential evaluation services require the official transcript to come directly from your institution, a student-submitted copy, even in a sealed envelope, is typically not accepted.

Tips for Alumni Requesting Transcripts After Many Years

  • Your student portal access may have expired, contact the Registrar directly
  • Institutions may have merged, renamed, or closed; contact the successor institution or the relevant state/national authority
  • Allow extra time for archive retrieval of records older than 10–15 years
  • If your institution has closed, contact the state higher education authority (in the US) or the relevant accreditation body, they often hold transcript archives for closed institutions
