Student Information System for Vocational Schools

A single open-source platform to track competencies, log workshop hours, manage employer partners, and report placement outcomes across every CTE, polytechnic, and TVET program you run.

A student information system for vocational schools is a records platform built around competency-based learning, industrial training logs, and employment outcomes rather than seat-time credits. It captures skill attainment, workshop attendance, employer partnerships, and post-completion placement data needed for funding compliance and accreditation under frameworks like Perkins V, AVETMISS, and NSDC.

Competency-Based Academic Record

Track demonstrated skills, not just course hours. Each trade, occupation, or qualification framework gets its own competency map, with pass/develop/master statuses recorded by instructors and signed off against national skill standards.

Industrial Training and Internship Logs

Students and supervisors log workplace hours, tasks performed, and mentor sign-offs from any device. Hour totals flow directly into the transcript and apprenticeship reporting, eliminating paper logbooks and duplicate spreadsheets.

Employer Partnership Ledger

Maintain a live directory of partner employers, placement seats, MoUs, advisory board members, and renewal dates. Tag each employer to the trades they hire so coordinators can match learners to openings in seconds.

Skill Credential Tracking (NSDC, NQF, AVETMISS aligned)

Map every course unit to national qualification codes and units of competency. Issue digital credentials, micro-credentials, and badges that align with NSDC Sector Skill Council standards, NQF levels, or AVETMISS unit outcomes.

Lab and Workshop Attendance Integration

Capture attendance through QR scans, RFID, or biometric kiosks at each lab, simulator, or workshop entry. Hours roll up to competency completion thresholds automatically, with alerts when learners fall behind required contact hours.

Placement Outcome Reporting

Pre-built dashboards for employment rate, wage at six months, employer satisfaction, and further-study enrollment by program. Export the exact rows your funding agency or accreditor needs without rebuilding pivot tables each cycle.

Does OpenEduCat support Perkins V reporting for US CTE programs?

Yes. OpenEduCat stores the learner-level data points required by the Carl D. Perkins Career and Technical Education Act (Perkins V), including concentrator status, program of study, special population flags, credential attainment, and post-program placement. Reports can be exported in the column formats your state CTE office uses for the Consolidated Annual Report (CAR).

Can we generate NSDC reports for skill development programs in India?

Yes. Programs aligned to the National Skill Development Corporation (NSDC) and Sector Skill Councils can be mapped at the Qualification Pack and National Occupational Standards level. The system tracks NSQF level, training hours, assessment results, and placement data in the formats expected by SDMS and PMKVY reporting.

Is OpenEduCat AVETMISS compliant for Australian RTOs?

Vocational education providers in Australia can configure OpenEduCat to capture the AVETMISS data elements required by NCVER, including client, enrolment, unit of competency outcome, qualification completion, and training contract records. Data can be exported in NAT files for AVETMISS validation before submission.

Which placement-outcome metrics can we track and report?

Standard outcomes include employment rate at 90 days and 6 months, wage at placement, employer of record, related-occupation match, further-study enrollment, and credential attainment rate. Each metric can be sliced by program, cohort, demographic flag, and partner employer for funder dashboards and accreditation reviews.

Can it integrate with our apprenticeship management or RAPIDS system?

Yes. OpenEduCat exposes a REST and XML-RPC API so registered apprenticeship data, on-the-job training hours, and related technical instruction can sync with national systems such as RAPIDS in the US, the Apprenticeship Data Platform in the UK, or state-level apprenticeship registries. Webhooks push hour updates as soon as mentors sign them off.

How hard is it to migrate from PowerSchool or paper-based logbooks?

Most vocational schools migrate in two phases: a CSV import of learners, programs, and historical credentials from PowerSchool, Banner, or spreadsheets, followed by a cutover where current cohorts move to digital logbooks. Our implementation team provides field mapping templates for common SIS exports and paper-form digitization workflows, so paper logbooks can be retired within a single term.
