US University Transcript
A US academic transcript records every course attempted, credit hours, letter grades, semester GPA, cumulative GPA, and any transfer credits, organised chronologically by semester. Official transcripts carry the registrar seal and are sent directly to recipients under FERPA consent. Unofficial transcripts are student-accessible PDFs for personal use only.
What Goes on a US Transcript
Four sections that together make up a complete US academic record.
Student identification
- Full legal name
- Student ID number
- Date of birth (sometimes masked)
- Social Security Number (last 4 digits, often omitted)
- Dates of enrollment
- Degree(s) conferred and date
Per-semester academic record
- Course number and section
- Course title
- Credit hours earned
- Grade letter (A, A-, B+, B, etc.)
- Quality points earned
- Semester GPA
- Semester credit hours attempted and earned
Cumulative record
- Cumulative GPA (updated every semester)
- Total credit hours attempted
- Total credit hours earned
- Academic standing (Good Standing, Probation, Suspension)
- Transfer credit block (institution name, credits accepted)
Degree and honors
- Degree title (B.A., B.S., M.S., etc.)
- Major and minor fields of study
- Latin honors if awarded (Cum Laude, Magna, Summa)
- Graduation date

Official vs Unofficial Transcript
Understanding the distinction is critical, submitting an unofficial transcript for a formal application will result in rejection.

Special Entries on a US Transcript
Withdrawals, incompletes, transfer credits, and repeated courses each have specific notations that affect how the record is read.
W, Withdrawal
A W grade indicates the student withdrew from the course after the drop/add period. It does not affect GPA but is visible on the transcript. Repeated or late withdrawals may raise concerns for graduate admissions.
WF, Withdrawal Failing
Assigned when a student withdraws while failing. At most institutions WF is calculated as an F in the GPA. Some institutions convert WF to W after grade forgiveness petition.
I, Incomplete
An I grade means coursework was not finished by the end of the semester. The I typically converts to F after one semester unless the student completes the work. Incomplete grades affect academic standing review.
TR, Transfer credit
Transfer courses from other accredited institutions appear as a block, usually showing the sending institution name, equivalent credit hours, and the grade or a T (transfer) notation. The original letter grade may or may not be included depending on transfer policy.
RP, Repeated course
When a student repeats a course under grade forgiveness, the original grade may be marked RP (replaced) and excluded from GPA calculation. Both grades remain visible on the transcript; only the replacement counts in GPA.
How to Request a US Transcript

Log in to your student portal or Parchment/Credentials
Most US universities use Parchment or Credentials Solutions as transcript ordering platforms. Some large public universities (e.g. University of California, Texas A&M) have their own registrar portals. Log in with your student or alumni credentials.
Select official or unofficial and specify recipient
For official transcripts, enter the recipient institution email or mailing address. Parchment supports electronic delivery to thousands of institutions. If the recipient is not in the network, the transcript is mailed in a sealed envelope.
Sign the FERPA release
FERPA (Family Educational Rights and Privacy Act) protects your academic records. You must sign a consent form authorising the institution to release your transcript to the named recipient. This is typically built into the online order flow.
Pay the fee and track delivery
Fees range from $5–20 per official transcript. Electronic delivery arrives in 1–3 business days. Paper transcripts take 1–2 weeks plus mail transit. Most platforms provide email tracking once the order is processed.
