Indonesian University Transcript Format

The Indonesian Transkrip Akademik is the official academic record required for graduation, graduate admissions, and overseas credential evaluation. It must include the student's NIM, programme name, BAN-PT accreditation status, SKS per course, IPS per semester, IPK, and Predikat Kelulusan. OpenEduCat generates DIKTI-compliant transcripts (both interim and final) automatically from computed grade data.

Transkrip Sementara vs. Transkrip Akademik

Two distinct transcript types serve different purposes at different stages of a student's academic journey.

Transkrip Sementara

Interim Transcript

Issued: During studies, before graduation

Purpose:

Used for scholarship applications, credit transfer, or interim academic reference. Shows all completed semesters up to the date of issue. Does not include Predikat Kelulusan. May not require Rector signature, a departmental signature is often acceptable.

Not final, cannot be used for diploma authentication or overseas credential evaluation.

Transkrip Akademik

Official Academic Transcript

Issued: After graduation clearance and degree conferral

Purpose:

The final official transcript issued by the Registrar's office. Includes all semesters, final IPK, Predikat Kelulusan, BAN-PT accreditation status, Rector signature, and university seal. Required for graduate admissions, employer credential verification, professional licensing, and overseas study or work applications.

Official, required for all formal credential submission.

Authentication chain required to use an Indonesian transcript outside Indonesia.

Legalisasi Universitas (University Legalisation)

The Registrar's office certifies the transcript as a true copy of the original with an official stamp and authorised signature. Multiple certified copies can be produced for simultaneous submission to different organisations.

Notaris (Notarial Certification)

For some purposes (particularly overseas credential evaluation) a public notary (notaris) may be required to certify the authenticity of the university's signature and seal. This step is not always required domestically.

Apostille / Legalisasi Kemenkumham

Indonesia has been a signatory to the Hague Apostille Convention since 2021. Transcripts for use in Apostille-member countries can be stamped at the Ministry of Law and Human Rights (Kemenkumham) instead of full embassy legalisation. For non-Apostille countries, the Ministry of Foreign Affairs (Kemenlu) step is required.

Embassy Legalisation (for non-Apostille countries)

For countries not party to the Apostille Convention, the Kemenlu-legalised transcript must be further authenticated by the embassy or consulate of the destination country in Indonesia. This completes the chain of authentication for international use.

Indonesia joined the Apostille Convention in 2021

For use in any of the 120+ Apostille-member countries, Indonesian transcripts can now be authenticated with a single Apostille stamp from Kemenkumham, replacing the previous multi-step embassy legalisation chain. Check whether your destination country is an Apostille signatory before starting the legalisation process.

How OpenEduCat Generates Indonesian Transcripts

DIKTI-format transcript generated from grade data

OpenEduCat's Indonesia module generates the Transkrip Akademik via a QWeb template. Each semester block pulls from the advance.gradebook records, computing IPS from the gradebook's GPA field and running IPK from the student's cumulative_gpa field. Course codes, SKS values, grade letters, and bobot (GPA points) are populated automatically from the subject and grade scale records.

BAN-PT accreditation status on every transcript

The programme's BAN-PT accreditation grade and certificate number are configured once on the op.course record. They print automatically on every generated transcript without any per-transcript data entry. When accreditation is renewed, updating the course record updates all future documents immediately.

Transkrip Sementara and final transcript distinguished

OpenEduCat supports two transcript states. Transkrip Sementara can be generated at any point for enrolled students, it excludes the Predikat Kelulusan field and can be marked with a "SEMENTARA" watermark. The final Transkrip Akademik is generated after graduation confirmation, automatically including the Predikat Kelulusan, final IPK, and all completed semesters.

Student portal self-service transcript download

Students access their Transkrip Sementara directly from the OpenEduCat student portal without contacting the Registrar's office. The self-service download reduces administrative load significantly for common purposes like scholarship applications. The portal transcript is digitally watermarked and includes a QR verification code linked to the university's verification endpoint.
