Indonesia University Remedial Exams
Indonesian universities offer two types of additional exam opportunities: UAS Susulan (make-up final exam for documented absences) and Ujian Perbaikan (improvement exam for students who passed with a low grade). Sitting the UAS requires meeting the 75–80% attendance threshold. The best grade from Perbaikan replaces the original in IPK calculation at most institutions.
UAS Susulan vs Ujian Perbaikan
Two distinct mechanisms serve different purposes and apply to different student situations.
UAS Susulan
Ujian Akhir Semester Susulan (Late/Make-Up Final Exam)
Allows students who missed the original UAS (final exam) due to a valid, documented reason to sit the exam at a separate session.
Eligibility criteria:
- Documented medical illness with hospital or doctor certificate
- Death of an immediate family member with supporting documentation
- Official university assignment or representation (e.g., national sports, government duty)
- Force majeure events beyond the student's control
Grade recording
The Susulan grade is recorded as the student's official UAS grade for that course. There is no automatic cap, the student can score the full range. The original absent entry is replaced by the Susulan result.
Timing
Typically scheduled 1–2 weeks after the main UAS period, before final grade processing.
An excuse for missing UAS without valid documentation results in a score of 0 for the UAS component, which is not the same as a Susulan right. Documentation must be submitted to the Academic Administration (Bagian Akademik) within a specified window, usually 3 days after the missed exam.
Ujian Perbaikan
Ujian Perbaikan (Improvement Exam / Grade Repair Exam)
Allows students who completed the course but received a low grade (typically D or E) to retake the final exam or a designated assessment to improve their grade.
Eligibility criteria:
- Student passed the course with grade D or E (below the satisfactory threshold)
- Student met minimum attendance for the original course session
- Student applies formally within the improvement exam registration window
- Some universities restrict Ujian Perbaikan to specific courses or years
Grade recording
At most Indonesian universities, the higher grade between the original and the Perbaikan result replaces the original grade in the IPK calculation. Some institutions record both but only count the higher in IPK.
Timing
Typically offered in the short semester (Semester Pendek) between main semesters, or at the beginning of the following semester.
Not all Indonesian universities offer Ujian Perbaikan, it is an institutional-level policy, not a national requirement. Students should check their university's Academic Regulation (Peraturan Akademik). Some universities limit Perbaikan to students below a specific IPK threshold.
Minimum Attendance Requirement
Attendance is a prerequisite for sitting the UAS in Indonesia, not merely a performance metric.
- Enforcement
- A student who attends fewer than 75–80% of scheduled lecture sessions for a course is typically barred from sitting the UAS (Ujian Akhir Semester). This threshold is set by the institution, 75% is the common floor, but 80% is used by some universities.
- Consequence of falling below threshold
- A student barred from UAS due to attendance receives a 0 for the UAS component, which generally results in a failing grade (E or D) for the course depending on the weight of other assessments. This is separate from a missed-UAS Susulan scenario, the student was not legitimately absent, so no Susulan right applies.
- Calculation
- Attendance percentage = (Sessions attended ÷ Total scheduled sessions) × 100. Tardiness policies vary: some universities count arrivals more than 15 minutes late as an absence.
How Remedial Exams Affect IPK
| Scenario | Original IPK | After Remedial |
|---|---|---|
| Student fails course (grade E), retakes next semester This is the standard carryover (mata kuliah sisa) path. The course must be re-registered in a subsequent semester and all assessments redone. | E grade (0.0) counted in IPK: full semester attempted, low quality points earned | New grade (e.g., B=3.0) from retaken course replaces E in IPK calculation at most universities. IPK improves significantly. |
| Student passes but unsatisfied (grade D), takes Ujian Perbaikan Ujian Perbaikan is typically available within the same academic year. The student does not re-register for the full course, only the designated improvement exam. | D grade (1.0) counted in current IPK | Perbaikan result (e.g., B=3.0) replaces D in IPK. Best grade replaces original under improvement policy. |
| Student missed UAS, takes UAS Susulan Susulan does not count as a separate attempt for SKS or IPK purposes, it is the legitimate completion of the original course. | Course grade pending, UAS component is 0 until Susulan result recorded | Full UAS score from Susulan replaces the 0 UAS component. Final course grade is calculated normally. |
How OpenEduCat Manages Indonesian Remedial Exams
Attendance tracking with UAS eligibility gate
OpenEduCat tracks lecture attendance per course per student throughout the semester. When the UAS registration window opens, the system automatically checks each student's attendance percentage against the configured threshold (75% or 80%). Students below the threshold are flagged and excluded from the UAS sitting list, with automated notification to the student and course lecturer.
UAS Susulan workflow management
When a student misses the UAS and submits a documented excuse, OpenEduCat creates a Susulan exam record linked to the original course enrolment. The faculty admin approves the Susulan request through a structured workflow. The Susulan exam is scheduled in a separate session, and the resulting grade is posted directly to the course record, replacing the pending/absent status for the UAS component.
Ujian Perbaikan registration and grade replacement
Students eligible for Ujian Perbaikan can apply through the student portal during the designated registration window. OpenEduCat checks eligibility criteria (grade D/E, attendance met in original session) and creates the Perbaikan attempt record. When the Perbaikan result is published, the system compares it to the original grade and records the higher value as the active IPK grade, updating the cumulative IPK automatically.
Masa studi and SKS tracking
OpenEduCat tracks each student's total SKS (Satuan Kredit Semester) earned and attempted across all semesters. For students with carryover courses (mata kuliah sisa), the system monitors masa studi (maximum study duration) relative to the programme's normal duration. BAN-PT monitoring reports on graduation rates and student progression can be generated from the accumulated SKS and IPK data.
