Indian University Transcript Format
An Indian university transcript under the CBCS system is more than a list of grades. It must show SGPA for each semester, a running CGPA, credit hours per subject, ATKT re-attempt history, and the final division classification, all in a format recognisable under UGC guidelines. OpenEduCat generates this transcript automatically from published gradebook data.

Marksheet vs Transcript
A common point of confusion, these are two different documents serving different purposes.
| Dimension | Marksheet | Transcript |
|---|---|---|
| Purpose | Shows marks or grades for a single examination | Full academic record across all semesters |
| Issued by | University examination board per exam session | Registrar office on request (usually at graduation) |
| Contains CGPA | Typically only SGPA or semester total | Running CGPA from Semester 1 to final semester |
| Re-attempt history | May show only the latest grade | All attempts with annotation indicating which is active |
| Division / Honours | Sometimes printed; sometimes separate certificate | Printed on final transcript after UGC classification |
| Used for | Semester-by-semester academic progress records | Higher education applications, employment, migration |
UGC Format Requirements
These elements are mandated for CBCS-compliant transcripts under UGC guidelines.
CBCS grade scale notation
Grade letters and grade points on the 10-point UGC scale must be used. Percentage marks alone are not sufficient for CBCS transcripts.
Credit hours per subject
Every subject entry must show the number of credit hours. This is required for CGPA computation verification by receiving institutions.
SGPA per semester
SGPA for each semester must appear alongside the semester course list. The formula (quality points divided by credits) must be verifiable from the transcript data.
CGPA at graduation
The cumulative GPA at the time of graduation must be prominently stated. UGC guidelines require this to appear on the final transcript or consolidated marksheet.
Division / Classification
The honours classification (First Class with Distinction, First Class, Second Class, Pass) derived from CGPA must be printed. UGC specifies the CGPA thresholds for each division.
How OpenEduCat Generates CBCS Transcripts
The India module generates UGC-compliant transcripts directly from published gradebook data, no manual formatting required.
CBCS transcript template pre-loaded
The India module includes a QWeb transcript template that formats all required UGC fields: subject code, title, credit hours, grade letter, grade points, SGPA per semester, and cumulative CGPA. No custom template development required.
All attempts shown, active grade annotated
Re-attempt grades are shown with an asterisk (*) on the active grade and a status annotation on superseded grades. This meets UGC transparency requirements and makes the backlog history clear to receiving institutions.
QR verification with SHA-256 hash
When the secure bridge module is installed, every transcript PDF includes a QR code linked to a SHA-256 integrity hash. Employers and universities scan the QR code to verify the transcript has not been altered.
Batch transcript generation
The transcript wizard generates individual or batch PDFs. The registrar selects a graduating cohort and generates all transcripts in a single operation. Each PDF is named with the student enrolment number for easy distribution.
