Ethiopian University Make-Up Exam Policy

Ethiopian universities distinguish between two reattempt pathways: a make-up exam for students who missed a scheduled examination due to documented circumstances, and course retakes for students who failed a course and must re-register. The Ministry of Education Higher Education Proclamation governs maximum programme duration and CGPA minimums. This page explains eligibility, grade recording, maximum attempts, and how OpenEduCat manages both pathways.

Make-Up and Retake Rules by Category

How different types of missed or failed assessments are handled at Ethiopian universities.

Failed Exam (Grade F)

Eligibility
Students earning F (below 40%) in a course must retake the full course in a subsequent semester. No in-semester make-up exam is typically offered for course failure.
Timing
Next semester the course is offered; student re-registers through normal enrolment
Grade Effect on CGPA
New grade replaces the F in CGPA calculation at most institutions; transcript may show both attempts
Maximum Attempts
Maximum 2 registered attempts before the case is referred to the Academic Commission

Missed Exam (Medical/Compassionate)

Eligibility
Students who miss a scheduled exam due to documented medical emergency or bereavement may apply for a make-up exam within the same semester. Application with documentation required within 3–5 working days of the missed exam.
Timing
Within the same semester, typically within 2–4 weeks of the original exam date
Grade Effect on CGPA
Make-up result is treated as the original exam grade — no cap applies. Full grade range available.
Maximum Attempts
1 make-up opportunity per documented incident; further absences require Academic Commission review

Incomplete Grade (I)

Eligibility
Students who complete the course but cannot finish all assessments due to documented circumstances may receive an I (Incomplete) grade. Must be approved by the course instructor and department head.
Timing
Incomplete must be converted to a final grade by the following semester (usually within 6 months)
Grade Effect on CGPA
Converted to the actual earned grade once all assessments are submitted. If not resolved within the deadline, converts to F.
Maximum Attempts
1 incomplete period extension; further extensions require Academic Dean approval

Academic Probation Retake

Eligibility
Students on academic probation (CGPA below 2.0) who need to retake failed courses to meet graduation minimums. Reduced credit load required during probation period.
Timing
Retakes scheduled in subsequent semesters under reduced load; progress reviewed each semester
Grade Effect on CGPA
New grade replaces the fail in CGPA calculation; academic probation lifted once CGPA reaches 2.0
Maximum Attempts
Total programme duration limit applies (standard duration × 1.5 per MOE Higher Education Proclamation)

MOE Academic Regulations

Ethiopian Ministry of Education Higher Education Proclamation (No. 1049/2017) key requirements governing reattempts, CGPA, and programme duration.

Maximum Programme Duration

Ethiopian Ministry of Education Higher Education Proclamation (No. 1049/2017) limits maximum undergraduate programme duration to 1.5 times the standard duration. A 4-year programme has a 6-year maximum. Students exceeding this limit without graduating are formally dismissed.

CGPA 2.0 Graduation Minimum

All undergraduate students must achieve a minimum cumulative CGPA of 2.0 before the degree can be awarded. Students who complete all credit hours but remain below 2.0 must retake courses to raise their CGPA. The registrar cannot process the degree application without clearance.

Academic Probation Process

Students whose semester or cumulative CGPA falls below 2.0 are placed on academic probation. Probation restricts the following semester credit load to a maximum set by the institution (typically 12–15 credit hours). Students must return to good standing (CGPA ≥2.0) within 2 semesters of probation or face dismissal review.

Failed Course Transcript Recording

Both the original fail and the retake result are recorded on the official transcript per MOE transcript standards. The CGPA calculation uses the new grade, but the academic history shows all attempts. This supports the integrity requirement that academic records cannot be purged or hidden.

Frequently Asked Questions

Common questions about Ethiopian university make-up exams and failed course retake policy.

Students who miss a scheduled exam due to a documented medical emergency, bereavement, or other serious circumstances may apply for a make-up exam within the same semester. The application must typically be submitted within 3–5 working days of the missed exam, supported by medical certificates or official documentation. If approved, the make-up exam carries no grade cap — the full grade range is available. This is distinct from a retake of a failed course, which requires re-registration in the following semester.
