Both sides of the transfer record automatically, maintaining accurate counts at each location without manual coordination by phone or email.

The system replaces the annual wall-to-wall count with continuous cycle counting. You configure counting schedules based on item value, movement frequency, criticality, or location. High-value items might be counted monthly and low-value supplies twice a year. The system generates count assignments and staff scan and enter actual quantities; variances flag immediately for investigation while the discrepancy is recent enough to trace. Most institutions achieve 98 percent inventory accuracy within six months of adopting cycle counts, which satisfies auditor requirements without shutting down stockroom operations for three weeks. Role-based access controls let you define exactly what each user sees. Department heads can view their department's allocated stock, consumption history, pending requisitions, and spending against budget, without seeing other departments' data or system-wide financial information. They can submit stock requests for items from the central warehouse, view the status of those requests, and run consumption reports filtered to their department. Lab directors can see additional detail like lot numbers, expiration dates, storage requirements, and Safety Data Sheet links for materials in their labs. The IT team configures these permission sets once during setup, and new users inherit the appropriate access based on their role assignment.

A typical deployment at this scale takes six to ten weeks. The first two weeks cover location hierarchy setup, product catalog import from existing spreadsheets, reorder point configuration, and barcode label generation. Weeks three and four focus on an opening stock count at each location to establish accurate starting balances. Weeks five through eight handle user training for stockroom coordinators, department heads, and lab managers, typically four half-day sessions covering receiving, issuing, transfers, cycle counts, and reporting. The final two weeks run parallel operations where staff use both the old process and the new system simultaneously to validate accuracy. Institutions with complex chemical tracking or large IT asset inventories may add two weeks for those specialized configurations.
