University Management for Online Universities

Run cohort-based online degrees, SCORM and xAPI course content, proctored assessments, and NC-SARA state authorization tracking on one open-source stack. Built for fully online and hybrid universities that need per-term enrollment reporting without paying $50 per active student per month.

University management for online universities is software that combines student information, learning management, and enrollment reporting for institutions where all instruction is delivered online. OpenEduCat handles cohort scheduling, SCORM 1.2 and 2004 content playback, xAPI activity tracking, live and asynchronous discussion, proctoring integration, and NC-SARA state authorization data collection on a single LGPLv3 platform.

Cohort-Based Course Delivery

Schedule 5, 6, 8, 10, and 16-week accelerated terms with rolling start dates. Students progress with a cohort or self-pace between milestones. Automated enrollment locks after the census date drive tuition revenue recognition and IPEDS 12-month enrollment reporting.

SCORM, xAPI & LTI Content

Play SCORM 1.2, SCORM 2004, and xAPI content authored in Articulate Storyline, Adobe Captivate, or iSpring. Consume LTI 1.3 tools from Cengage, Pearson, McGraw Hill Connect, and Zoom. Learning Record Store captures granular xAPI statements for competency analytics.

Proctoring & Academic Integrity

Integrate with Honorlock, Proctorio, Respondus Monitor, and ProctorU via LTI. Configure per-assessment identity verification, browser lockdown, and AI monitoring. Store proctoring incident reports on the student record for academic integrity board review.

Asynchronous Discussion & Peer Learning

Threaded discussion forums per course with peer replies, faculty grading rubrics, and required posting counts. Peer review workflows let students grade one another with anonymized rubrics. Discussion participation feeds course engagement analytics and early-alert models.

State Authorization & NC-SARA Reporting

Track student location at enrollment and change of address for State Authorization Reciprocity Agreement (NC-SARA) reporting. Automated alerts flag enrollments from non-SARA states (California) or non-eligible programs (professional licensure) that need individual state approval.

Financial Aid Disbursement Windows

Configure Title IV disbursement rules per program length and payment period. Automate Return to Title IV (R2T4) calculations for students who withdraw before 60 percent completion. Feed the Common Origination and Disbursement (COD) system with Pell Grant and Direct Loan disbursements.

Faculty Load & Adjunct Management

Manage adjunct faculty pools across hundreds of course sections. Configure per-section stipends, cap teaching loads under contingent-labor policies, and route section assignments to department chairs for approval. 1099-NEC and W-2 hand-off to payroll for tax reporting.

Retention & Early Alert Analytics

Score students weekly on login frequency, assignment submission velocity, discussion post count, and quiz score trend. Trigger email, SMS, and academic coach outreach when students drop below thresholds. Dashboard shows retention risk across cohorts, programs, and demographic bands.

Does OpenEduCat support fully online, asynchronous degree programs?

Yes. Courses can be modeled as fully asynchronous with no scheduled meeting times, cohort-based with weekly opening modules, or hybrid with synchronous Zoom or BigBlueButton sessions. The LMS supports SCORM 1.2, SCORM 2004, and xAPI content so existing course libraries built in Articulate Storyline or Adobe Captivate migrate without rework. Discussion boards, peer review, and video assignments are built in.

How does OpenEduCat handle NC-SARA state authorization?

Enrollment records capture the student physical location at admission and any subsequent address change. Non-SARA state enrollments (California is the only US state not in NC-SARA as of 2026) trigger an admissions alert so the institution can confirm individual state authorization. Program-level flags mark professional licensure programs that need per-state approval regardless of NC-SARA membership under 34 CFR 668.43 disclosure rules.

What proctoring vendors integrate with OpenEduCat?

Honorlock, Proctorio, Respondus Monitor and LockDown Browser, and ProctorU all connect via LTI 1.3. Configuration is per-assessment: choose identity verification method (ID card scan, live proctor), browser lockdown, and AI monitoring level. Incident reports (flagged behavior, multiple faces detected, browser tab switching) are stored on the student record and routed to the academic integrity office for review.

Does OpenEduCat calculate Return to Title IV for withdrawals?

Yes. R2T4 calculations run automatically when a student officially withdraws or is administratively withdrawn before completing 60 percent of a payment period. The system uses the last date of academically related activity (assignment submission, discussion post, quiz attempt) as the withdrawal date and calculates unearned Pell and Direct Loan aid to return. Return files feed the Common Origination and Disbursement (COD) system.

How does OpenEduCat handle Online Program Manager (OPM) partnerships?

For institutions partnered with OPMs like 2U, Noodle Partners, Wiley University Services, or Academic Partnerships, OpenEduCat exposes REST APIs for enrollment, gradebook, and student engagement data. Revenue sharing calculations can be configured per program and per cohort. IPEDS Fall Enrollment and Completions reports separate OPM-supported and institution-run enrollments so IPEDS Distance Education reporting stays accurate.

Can we run accelerated 5, 6, or 8-week terms?

Yes. Academic calendar supports unlimited term lengths and start dates concurrently. A typical online university runs 6 or 12 terms per year (5-week or 8-week each) with rolling enrollment. Financial aid payment periods, tuition billing, and IPEDS 12-month enrollment counts adapt to the term structure. Course sections can be scheduled by term with independent add, drop, and withdrawal deadlines.

How does the early-alert retention model work?

A weekly job scores each active student on LMS engagement (login count, page views), academic performance (submission timeliness, quiz scores, current grade), and peer interaction (discussion posts, group work participation). Students crossing configurable thresholds trigger automated outreach: email at low risk, SMS at moderate risk, academic coach ticket at high risk. Historical outcomes train the risk thresholds over time.

Is OpenEduCat FERPA compliant for online student records?

OpenEduCat can be configured to meet FERPA (20 U.S.C. 1232g) education record protection requirements. Access controls limit staff to their role scope, audit logs track every record view and change, and directory information disclosure preferences are stored per student. For online universities with international students, the same controls support GDPR data subject access and erasure workflows.
