Student Information System for Boarding Schools

One auditable record that follows each student from the classroom to the dorm, the infirmary, and back home on exeat. Built for registrars, houseparents and IT directors at residential schools.

OpenEduCat is a student information system for boarding schools that unifies academic records, residential life and welfare data in one inspection-ready file. It links house allocation, guardian contacts, leave-and-pass history, medical logs and safeguarding incidents to the same student record, so academic staff and houseparents work from a single source of truth.

Cumulative academic and residential record

Each student carries one continuous file across enrolment years that combines marks, attendance and behaviour with house assignment, room history, dietary requirements and boarding tariffs. Registrars stop chasing data across spreadsheets, and successor houseparents inherit context instantly when a child moves houses or year groups.

Parent, guardian and house-master relationships

Model the real-world contact tree: biological parents abroad, a local UK or US guardian, an emergency contact, and the assigned house-master or matron. Each contact has its own permissions for collection, leave approval, medical consent and academic communication, with a full log of who was notified and when.

Leave-and-pass history alongside attendance

Exeats, weekend leave, day passes and long-leaves sit on the same timeline as lesson attendance, so a missed class on a Friday can be explained by an approved exeat in seconds. Patterns of unauthorised absence trigger pastoral alerts before they become safeguarding cases.

Health and infirmary log linked to the nurse

The school nurse records consultations, medication doses, allergies and chronic conditions directly against the student record. Boarding staff see only the welfare flags they need to act on; full clinical notes stay under role-based access for medical personnel, with timestamps and signatures retained for audit.

Exeat tracking with digital approval workflow

Students or parents request exeat from the portal; the housemaster, tutor and registrar approve in sequence; transport arrangements, host details and expected return are captured. Late returns, no-shows and lock-up reconciliation generate a complete chronological record that satisfies inspection.

Safeguarding incidents linked to the student record

Pastoral concerns, low-level worries and serious safeguarding disclosures are logged against the student with strict access control, action plans, review dates and DSL sign-off. A child's full pastoral history is reconstructable at any moment without trawling email or paper files.

How is a boarding school SIS different from hostel management software?

Hostel management software is built around room allocation, mess billing and occupancy reporting for transient residents. A student information system for boarding schools is the academic record of the child first, with residential life layered on top. It links lesson attendance, marks, parent communication, exeat, medical events and safeguarding into one longitudinal file that travels with the student from admission to leaver. Hostel tools cannot evidence pastoral care to an inspector; a boarding SIS is designed to.

Does the system support safeguarding compliance for ISI, CIS or Ofsted inspections?

Yes. The pastoral and safeguarding module is designed around the evidentiary expectations of the UK Independent Schools Inspectorate (ISI), the Council of International Schools (CIS) accreditation protocol, and the Ofsted National Minimum Standards for Boarding Schools. Every incident has a timestamped author, named DSL reviewer, action plan, review date and immutable audit log. Inspectors can be shown a chronological pastoral history for any current or recently departed student inside the platform, rather than reconstructed from email.

Can parents approve exeats and leave through the portal?

Yes. Each guardian relationship carries its own approval rights. A parent overseas can authorise a weekend exeat to a named host; the local UK or US guardian can be required to co-sign for long-leaves; the house-master receives a queued approval with travel details and expected return time. Every approval is captured with IP, timestamp and the contact channel used, so the school can demonstrate informed consent if anything goes wrong.

How does the SIS handle international student records — visas, passports and guardianship?

International students get a dedicated section for passport number and expiry, visa type and expiry, CAS or I-20 reference, UK or US guardian contract on file, and travel itineraries each holiday. Expiry alerts run to the registrar months in advance; a missing or out-of-date document blocks term enrolment until resolved. The same record stores home-country emergency contacts, language preferences and any cultural or religious considerations for housing.

Who can see medical records, and how is privacy enforced?

Clinical notes are visible only to the nurse and named medical staff. Boarding and academic staff see derived welfare flags — for example, asthma, EpiPen location, allergies relevant to dining, or a 'no contact sport' note — without seeing the underlying consultation history. Access is granted by role and audited; every view of a sensitive record is logged. This separation lets the school meet GDPR, HIPAA-adjacent local rules and inspector expectations without crippling day-to-day operations.

Can we link day pupils and full boarders in the same system?

Yes. The same student file simply omits the residential block when a child is a day pupil, or activates it on the day they convert to boarding. Mixed schools run weekly boarders, flexi boarders, full boarders and day pupils side by side without duplicate records, and historical conversions remain visible on the student's timeline for fee, pastoral and safeguarding continuity.
