University Management System

Universities are not large colleges — they have research grants, multi-campus governance, postgraduate cohorts, faculty senate workflows, and accreditation cycles that don't fit a typical college SIS. Built for the registrar, the dean of research, the provost, and the vice-chancellor across a single openeducat_core platform.

A university management system is software that handles undergraduate, postgraduate, and research-degree program administration — admissions, course registration, examinations, transcripts, faculty workload, research-grant accounting, and accreditation reporting — across one or more campuses, with the academic and administrative depth required by university-level institutions and their accrediting bodies.

Multi-Campus, Multi-School, Multi-Department Hierarchy

University → School/Faculty → Department → Program → Course hierarchy out of the box. Each campus has its own dean and registrar workflow; shared services (finance, HR, IT) consolidate at the university level. Inter-campus student transfer, cross-listed courses, and joint-program governance all supported.

Postgraduate Program Management

Master's, PhD, MPhil, and DSc workflows with cohort management, supervisor assignment, thesis registration, progression milestones (literature review, proposal defense, mid-term review, viva), and dissertation submission with plagiarism-check workflow. PhD examiner panel and viva report management included.

Research Grant Accounting

Grants tracked from application through award, expenditure, periodic report, and closeout. Budget vs actuals per grant, per PI, per department. Cost-share, F&A/indirect-cost recovery, and effort-reporting built in. Sponsor-specific report formats (NIH, NSF, ERC, UKRI, ICSSR, ICMR, UGC) generated from real expenditure data.

Faculty Senate, Workload & Tenure Workflow

Faculty workload calculation (teaching, research, service) with senate-approved norms; promotion and tenure workflow (assistant professor → associate → full professor) with peer-review committees, external evaluator letters, and dean/provost sign-off; sabbatical and visiting-faculty management.

Accreditation & Program Review (NAAC, NBA, ABET, AACSB, QAA)

Continuous accreditation-data layer: faculty CV, publications, student outcomes, course outcomes, program outcomes, and PO-CO mapping. NAAC SSR, NBA self-assessment, ABET program self-study, AACSB business-school review, UK QAA TEF/REF — data work pre-built, narrative authored by the team.

Course Registration, Drop/Add & Credit-Transfer

Self-service course registration with prerequisite checks, capacity limits, waitlists, and drop/add deadlines. Credit-transfer evaluation workflow with course-equivalency database for partner institutions. Graduate-program elective approval routes through advisor and program coordinator.

Examinations, Transcripts & Convocation

Semester-end exams, mid-semester, supplementary, and improvement exams; result computation with grade points (CGPA, SGPA, percentage); transcript generation with university seal, registrar signature, security paper QR code; degree certificate printing for convocation; alumni-portal access post-graduation.

Plug-In Modules

openeducat_admission for postgraduate admissions, openeducat_exam with university grading scales, openeducat_fees with per-program fee structures, openeducat_finance for the bursar, openeducat_hostel for university housing, and openeducat_library for departmental libraries — all on the same database.

Research Universities (R1/R2 in US, IIT/NIT/Central in India, Russell Group equivalent globally)

solutionPage.useCasesChallengeLabel

Research grants, faculty workload, PhD progression, and undergraduate admissions live in 4 different systems; convocation prep is manual; accreditation cycle (NAAC every 5 years, ABET every 6) consumes a year of administrative effort.

solutionPage.useCasesOutcomeLabel

One platform across grants, faculty, postgrad, and undergrad. Live faculty CV with publication count and grant funding. Continuous accreditation data layer means SSR/self-study compiles in weeks, not a year. Convocation transcript run is automated.

Private Universities & Deemed Universities

solutionPage.useCasesChallengeLabel

Multi-school structure (engineering + business + liberal arts + medical) means inconsistent processes; the registrar consolidates by hand; UGC/AICTE/MCI compliance reports are double-handled.

solutionPage.useCasesOutcomeLabel

Common platform across schools with school-specific rules where needed (e.g., medical school has 12-month academic year; engineering has semester). Compliance reports for UGC, AICTE, MCI, BCI, NCTE generated from one data source.

Multi-Campus University Groups (US state systems, UK federal universities, GCC branch campuses)

solutionPage.useCasesChallengeLabel

Each campus runs its own ERP; student transfer between campuses is a 2-month nightmare; central reporting to the board is a quarterly fire drill.

solutionPage.useCasesOutcomeLabel

One ERP instance with each campus as a company; student records flow between campuses on transfer; central reporting consolidated live. Shared courses (cross-campus enrollment) trivially supported.

Public Universities with Government Funding

solutionPage.useCasesChallengeLabel

State/federal grant reporting (UGC RUSA in India, HEFCE/OfS returns in UK, IPEDS in US), audit trail expectations, and FOI responses require evidence-quality data; legacy systems can't produce it without manual reconstruction.

solutionPage.useCasesOutcomeLabel

Audit-grade data with every transaction logged, role-based access, FOI-friendly query interface, and statutory returns auto-generated. Tax-funded compliance burden drops by 60-70%.

My institution is a college, not a university — should I use this page or /solutions/college-management-system?

If you run undergraduate-only programs without research grants, postgraduate cohorts, multiple campuses, or accreditation cycles like NAAC/ABET/AACSB, see /solutions/college-management-system — it focuses on the college-specific workflow. This page targets institutions with research, postgrad/PhD, multi-campus governance, and the heavier accreditation burden that universities face. The underlying platform is the same; the configuration and modules emphasized differ.

How does it compare to Ellucian Banner / Workday Student / SAP Student Lifecycle Management?

Ellucian Banner is the dominant on-prem university SIS in the US with deep functionality but heavy licensing and 18-36 month implementations. Workday Student is the modern cloud challenger but expensive and best for institutions already on Workday HCM/Finance. SAP SLCM is similar — strong if you're on SAP. OpenEduCat is positioned as the open-source alternative: dramatically lower cost, faster to implement, with the trade-off that you self-host (or partner-host) rather than buy a turnkey vendor cloud.

Can it handle UK / EU / Bologna-Process credit (ECTS)?

Yes. Credit systems are configurable: US semester credit (typically 3 cr per course), Indian CBCS (typically 4 cr per major course), UK 360-credit honours degree, ECTS (60 ECTS per academic year, Bologna-aligned). Credit transfer between systems is supported via course-equivalency mapping. For Bologna context, see our /glossary/what-is-ects-credit-system and /glossary/what-is-bologna-process pages.

What about research-grant compliance — is the audit trail real?

Yes. Every grant expenditure links to its grant record, budget line, PI, and procurement document; effort certification (faculty time spent on the grant) is logged each pay period; F&A/indirect-cost recovery is computed per the institution's federally negotiated rate (US) or sponsor-specific rate (UKRI, ERC, ICSSR). Single-Audit (US OMB Uniform Guidance), UKRI Tracs, and equivalent compliance reports generate from this data.

Does it support our institution's assessment and outcomes-based curriculum (NBA / ABET / AACSB)?

Yes. Course outcomes (COs), program outcomes (POs), and program educational objectives (PEOs) are first-class objects. Each assessment item (exam question, project rubric criterion) maps to one or more COs; CO attainment rolls up to PO attainment rolls up to PEO attainment. NBA Tier-1 self-study, ABET program self-study, and AACSB AoL reports draw from this real data — no parallel manual rubrics.

How does the convocation workflow work — does it actually print 5,000 degree certificates?

Yes. Convocation print run is a defined workflow: generate provisional list of graduating students based on credit completion + viva clearance + no-dues, route through dean/registrar approval, freeze the list, then bulk-print degree certificates and transcripts on security paper. A typical 5,000-student convocation print job runs in 1-2 days end-to-end with the right printer, including QR-coded transcript verification accessible via the alumni portal post-graduation.
