Free Fee Management for K-12 Schools
An open-source fee billing stack for accountants and admin finance teams running 200 to 2,000 students. Build fee heads, automate installment plans, post receipts, and reconcile gateway payouts without per-student license fees.
Free fee management for K-12 schools is open-source software that lets school accountants define fee heads (tuition, transport, meals, activities, uniforms), generate term or monthly invoices, accept online payments, apply concessions, and produce auditable receipts. OpenEduCat ships this as an LGPLv3 module any school can self-host on a $10 to $30 per month VPS, with no per-student licensing.

Fee-head builder for every charge
Define tuition, transport, meal plan, activity, uniform, exam, lab, library, and one-off charges as separate fee heads. Each head carries its own ledger account so the finance team can post tuition to one revenue line and transport to another without spreadsheet gymnastics at year-end.
Installment plan automation
Configure termly, quarterly, monthly, or custom installment schedules per grade or per student. The system auto-generates invoices on the due date, locks the amount, and rolls outstanding balances forward so accountants are not rebuilding the schedule every cycle.
Payment gateway integration
Connect Stripe, Razorpay, PayU, Paystack, Authorize.Net, or any Odoo-compatible processor to accept cards, UPI, ACH, and net-banking. Parents pay from the portal, payments reconcile against the invoice automatically, and the gateway settlement file matches your bank statement.
Automated late-fee and reminder workflow
Set a grace window, then trigger reminder emails or SMS on day 1, 7, and 14. After the cutoff, late fees post automatically using a flat amount or percentage rule. Every notice and surcharge is logged on the parent ledger for audit and parent-conference review.
Sibling, scholarship, and staff-child concessions
Apply rule-based discounts: 10 percent off the second sibling, 100 percent waiver for staff children, scholarship caps by program, or fixed-amount aid by household. Concessions are recorded as separate ledger entries, not silent invoice edits, so the audit trail stays intact.
Parent statements and receipt generation
Generate per-student statements, consolidated household statements, and tax-deductible receipts in PDF. Receipts carry sequential numbering, school stamp, and a breakdown by fee head so parents have the documentation needed for reimbursement, scholarship boards, or income-tax filing.

Is OpenEduCat really free for K-12 fee management?
Yes. The Community Edition fees module is released under LGPLv3. Schools can download the source, run it on their own server, modify the code, and never pay OpenEduCat a license fee. The honest caveat: free software does not mean free infrastructure. You will still pay for a server, domain, SSL, and any payment-gateway transaction fees.
What does hosting actually cost for a 200-2,000 student school?
A small DigitalOcean, Hetzner, or AWS Lightsail VPS runs $10 to $30 per month and is sufficient for most K-12 schools in this range. Add backup storage, domain renewal, and SSL (free via Let's Encrypt) and most schools land between $150 and $400 per year in hosting. If you need a managed install, OpenEduCat Cloud and partners offer paid hosting plans.
How does it compare to proprietary K-12 fee software like Vidyalaya, MyClassCampus, or similar SaaS?
Proprietary K-12 SaaS typically charges per-student per-year (often $1-5 per student), bundles fees with attendance and parent apps, and locks your data inside their cloud. OpenEduCat charges zero license fees, lets you self-host (data stays on your infrastructure), and the fees module sits inside the same Odoo-based ERP as accounting, HR, and inventory. The trade-off: you take on hosting and updates yourself, or pay a partner.
Are payment-gateway transaction fees free too?
No. The software is free; the gateway is not. Stripe and Razorpay charge roughly 2 to 3 percent per transaction plus a fixed fee, and UPI in India is currently mostly zero-MDR for schools but can vary by aggregator. ACH and bank transfer fees are usually lower. Schools should compare gateway pricing separately — the OpenEduCat module is gateway-agnostic, so you can switch processors without changing fee software.
Does it respect regulatory fee caps like the Karnataka Education Act or KHDA in the UAE?
The software does not enforce regional caps automatically — that is a policy decision your school sets. But because every fee head, installment, and concession is auditable and exportable, schools in Karnataka (Karnataka Education Act, 1983 and the Karnataka Educational Institutions Prohibition of Capitation Fee Act), Tamil Nadu (Fee Determination Committee), or the UAE (KHDA Education Cost Index) can produce the line-item fee schedules regulators ask for. The Karnataka State Education Act fee-regulation framework is the standard citation we point implementers to.
Can it produce refund records and a proper receipt audit trail for state inspections?
Yes. Refunds are posted as separate accounting entries against the original invoice, with reason codes, approver name, date, and method. Receipt numbers are sequential and non-editable once issued. Reversed receipts get a cancellation entry rather than being deleted, which is what most state education boards and external auditors expect.
Does it integrate with our existing SIS or student information system?
OpenEduCat ships its own SIS (admissions, enrollment, batches, grades), so most schools run fees and SIS together. If you already have a separate SIS like PowerSchool, Infinite Campus, or a custom system, the fees module exposes a REST/JSON-RPC API and CSV import-export, so a developer can sync student rosters and balances on a nightly schedule.

solutionPage.exploreLinkFee Management for K-12 Schools
K-12 fees are not college tuition — sibling discounts, half-term and term-based billing, scholarships funded by the school or the diocese, instalment plans for boarding fees, and parents who pay through whatever channel is easiest. Built for elementary, middle, and high schools with NACUBO and AACSB-aligned reporting, FERPA-compliant data handling, College Board financial-aid integration where applicable, and the local-currency local-gateway reality of school fees worldwide.
solutionPage.exploreLinkFee Management for Colleges
College fees combine per-credit-hour tuition, course fees, lab fees, technology fees, and the federal financial-aid maze — Pell, SEOG, Direct Loans, work-study disbursement plus institutional aid and outside scholarships. Built around NACUBO bursar workflows, College Board financial-aid principles, 1098-T tax reporting, and the per-state community-college reality (CCC chancellor offices, SUNY, CUNY, state-system reporting).
