Online Admission Application for Schools, Colleges & Coaching
Build a custom admission application form, publish it on your website, accept payment, and convert applicants to enrolled students — without leaving OpenEduCat.
Why generic admission form generators are risky
A generic form builder is a single page that collects responses into a spreadsheet. That works for an event RSVP. It is the wrong tool for an admission application — the document where an institute commits to accepting a minor, takes their photo, their parents’ identification, their prior academic record, and a payment.
Anyone with the share link to a generic form’s response sheet can usually see every applicant. There is no role-based access, no audit log of who viewed a submission, and no way to demonstrate to an accreditation reviewer that applicant data was handled by named officers under recorded approvals.
Generic tools also stop at "form submitted". They do not move the applicant through document verification, do not generate an offer letter, do not reconcile the application fee against the accounts ledger, and do not turn the applicant into a student record at the end. The admission team ends up re-entering every accepted applicant into the SIS by hand — which is where transcription errors and lost applications happen.
The honest framing is this: an admission application is not a form, it is a workflow. The institute needs a system that owns the workflow end-to-end with auditable, role-based access — not a public form on a spreadsheet backend.
The OpenEduCat way
One product that takes an applicant from the first form field to an enrolled student record — with audit trail and role-based access at every step.
Custom form builder
Drag-and-drop builder for personal details, prior academics, parent details, document uploads, programme preference, and any custom field the institute needs.
Hosted portal + website embed
Publish the form on a shareable URL or embed it inside your existing institute website. Submissions land in OpenEduCat either way.
Online application fee
Integrated gateways (Razorpay, Stripe, PayPal, PayU and others) so the application fee is paid at the moment of submission and reconciled automatically.
Multi-stage admission pipeline
Built-in Draft, Submitted, Under Review, Document Verified, Offered, Confirmed and Enrolled stages — with configurable approvals at each step.
Role-based access + audit trail
Only the admissions officer and admission manager roles see applicant data. Every view, edit, and stage change is recorded against the applicant.
One-click applicant to student
Marking an application Confirmed converts the applicant into a full student record with enrolment number, batch, fee schedule and document history intact.
How it works
- 1
Admin builds the form
Drag fields into the admission form: personal details, prior academic record, parent details, document uploads, programme preference, and any institute-specific fields. Configure required vs optional and set the application fee.
- 2
Publish the shareable link
Get a hosted URL for the admission portal, or embed the form on your existing institute website. Share over WhatsApp, email, or your admission-season social campaign.
- 3
Applicant fills and pays
The applicant completes the form, uploads documents, and pays the application fee via the integrated gateway. They receive an auto-confirmation with their application number.
- 4
Routed through admission stages
The application moves through Submitted → Under Review → Document Verified → Offered → Confirmed — with the right officer approving at each stage, and every change logged.
- 5
Converted to a student record
One click on the Confirmed application creates the student record: enrolment number, batch assignment, fee schedule, document history. Zero re-keying.
What you can do today, for free
Not ready to move admissions online yet? Start with a safe, free offline alternative. We deliberately keep this option separate because a printable format does not need a login and does not collect personal data.
Free Admission Form Builder (offline format)
Design a blank, printable, watermarked admission application format. No data is collected, no payment is taken — it is purely a printable template the institute can photocopy and hand out at the admission counter. Use it for one intake to settle on your field list and consent language, then move the same form online with OpenEduCat for the next cycle.
